How the calculator works.

The calculator starts from the money and works backwards through each stage of your recruitment funnel, dividing by the conversion rate at each step.

  1. Placements = billing target ÷ average fee.
  2. Offers = placements ÷ offer-to-placement rate. Not every offer is accepted and starts.
  3. First interviews = offers ÷ interview-to-offer rate.
  4. CVs sent = first interviews ÷ CV-to-interview rate.
  5. Conversations = CVs sent ÷ conversation-to-CV rate.
  6. Approaches = conversations ÷ approach-to-conversation rate.

Jobs to take on is placements ÷ your fill rate: how many new roles you need to win to make that many placements. Annual figures are divided by 12 for monthly numbers, by the weeks you work for weekly numbers, and by five working days for daily numbers.

The defaults are typical of contingent agency recruitment, not a benchmark. The plan is only as good as the conversion rates you put in, so use your own from the last six to twelve months where you have them.

LET’S CLEAR A FEW THINGS UP

Questions recruiters ask.

Talk to our team
What KPIs should a recruiter be measured on?

Most agencies track a short chain of activity and outcome numbers: candidate approaches, conversations, CVs sent, first interviews, offers and placements, plus new jobs taken on for anyone who does business development. Activity numbers tell you whether the work is happening; the conversion rates between them tell you whether it’s the right work. Read more in our guide to recruitment agency KPIs.

What is a good CV-to-interview ratio?

It varies by market, but many agencies aim for one first interview from every two or three CVs sent, a rate of 33–50%. If your rate is much lower, you may be sending CVs to fill a quota rather than because they match the brief. Use your own numbers from the last six to twelve months for a plan you can trust.

How many placements does a recruiter need to make a year?

Divide the billing target by the average fee. A recruiter with a 150,000 target and a 15,000 average fee needs ten placements a year, a little under one a month. The calculator then works back from placements to the offers, interviews and CVs needed to get there.

Why use weeks worked rather than 52?

Holidays, public holidays, sick days and the quiet weeks at the end of the year all come out of the time you have to hit a target. 46 working weeks is a realistic default for most agencies; change it to match your own calendar.

Should KPIs be the same for every recruiter?

Not necessarily. A recruiter with strong conversion rates needs less activity to hit the same target, and a new starter may need more. Plug each person’s own conversion rates into the calculator to see their numbers, and use the link button to share their plan with them.
